2. A quién aplica

In short: your bank statements are read with rules in your browser, without artificial intelligence. Only the last four digits of SSNs and EINs are stored. We don't sell your information or use it for advertising. None of your documents is ever sent to an artificial-intelligence service.
1. Who we are
Aliados Hispanos Tax Services LLC operates Aliados Books Pro at aliadoshispanosbooks.com, from Goodyear, AZ. For any question about this policy or your data, write to hola@aliadoshispanosbooks.com.
2. Who this applies to
This policy covers three groups:
Firms that use the software, and the members of their team.
The clients of those firms, whose financial information the firm loads into the software, and clients who sign in to their portal.
Visitors to this website.
The firm decides what client information to load, and we process it on the firm's behalf and only to provide the service. If you are a firm's client and have a question about your information, please contact your firm first.
3. What information we process
User accounts
Name, username, email address and each person's role (administrator, manager, bookkeeper or client). Passwords are stored in encrypted form by our authentication provider; we never see your password.
Client files
Client name, control number, business name and line of business.
For Social Security and EIN numbers, only the last four digits are stored. The full number is never collected.
Bank statements, bank transactions, categories, checks, receipts, invoices, reports, preparer notes and tasks.
Activity
A record of who did what: who posted, who deleted, when, and under whose authorization. It protects the file and makes every change traceable.
Website and browser
We do not use advertising or tracking cookies, or third-party analytics tools. The software stores your session and your preferences (language, text size, color theme and the last screen you opened) in your own browser. This website stores only the language you chose.
4. How we use it
To provide the service: reading bank statements, categorizing, reconciling, generating reports, assembling the year's file and giving access to the client portal.
For security: controlling who can access what, and keeping a record of changes.
To give you support when you ask for it, and to bill for the service.
We do not sell or rent your information, and we do not use it for advertising. The rules the software learns while categorizing belong to the firm: one firm's data is never visible to any other firm.
5. How documents are read
Bank statements: they are stored in the software's storage and read with rules, inside the browser of the person converting them. No artificial intelligence is used to read them, and they are not sent to any third party.
Receipts: they are entered by hand. The receipt photo is stored in the client file and the firm's team types in the date, the merchant and the amount. They are not sent to any artificial-intelligence service either.
6. Who we share it with
We use these providers to run the software. Each one receives only what it needs for its part:
Beyond these providers, we would share information only if a law or a competent authority requires it.
7. Where it is stored and how it is protected
Information is stored in the United States.
It travels encrypted between your browser and the server, and the provider stores it encrypted.
Access is controlled by user and by client file: each person sees only what they should, and a file can be private, with a list of who may enter.
The client portal is read-only: clients see their reports and their file, and cannot change anything.
Sessions end automatically after a period of inactivity.
Every significant change is kept in the activity log.
No system is invulnerable. If a security incident affecting your information were to occur, we will notify you as required by applicable law.
8. How long we keep it
A firm's information is kept while its account is active. If the firm leaves the service, it may ask us for a copy of its information and for its deletion, except for anything the law requires us to keep. When a client file is deleted, a record remains of who deleted it and when.
9. Your rights
You may ask us for access to your information, to correct it or to delete it, by writing to hola@aliadoshispanosbooks.com. If you are a firm's client, your firm decides about your file: it is usually best to speak with them first, and we will help them handle your request.
10. Minors
The service is for firms and their adult clients. It is not directed to anyone under 18.
11. Changes to this policy
If we change this policy, we will update the date above. If the change is significant, we will let firms know before it takes effect.
